How to Add Your Email Signature

Gmail

  1. Copy the generated HTML from the box above.
  2. Open Gmail and click the gear icon, then See all settings.
  3. Scroll to the Signature section and click Create new.
  4. Paste the HTML into the signature editor and click Save Changes.

Outlook (desktop)

  1. Copy the generated HTML.
  2. Go to File > Options > Mail > Signatures.
  3. Click New, give your signature a name, then paste the HTML into the editor.
  4. Choose the signature as your default for new messages and replies.

Apple Mail

  1. Copy the generated HTML.
  2. In Apple Mail, go to Settings > Signatures.
  3. Create a new signature, then paste the HTML.
  4. Assign it to the email account you want to use it with.

Email Signature Best Practices

  • Stick to two or three colors that match your brand. Too many colors look unprofessional.
  • Use web-safe fonts like Arial, Verdana, or Georgia so your signature looks the same in every email client.
  • Keep your photo or logo under 100 KB and no larger than 150 x 150 pixels. Large images slow down email loading.
  • Limit social icons to four or five networks. Including every platform clutters the design.
  • Test your signature in multiple clients (Gmail, Outlook, Apple Mail) before rolling it out company-wide.
  • Signature banners with a call-to-action can generate up to a 4% click-through rate, making them a low-effort marketing channel.
